How to create an email sequence

A sequence sends a series of emails to each recipient, with follow-ups a set number of days apart. It's the easiest way to make sure nobody falls through the cracks after a first email. Sequences are included on the Growth and Pro plans.

Create a sequence

  1. Go to Campaigns and click New campaign.
  2. In Setup, name the campaign, choose Sequence as the campaign type, and pick the sender mailbox.
  3. In Recipients, select the contacts to include. Use Filter to narrow the list.
  4. In Content, write each step (see below).
  5. In Schedule, choose Send manually or Schedule for later, and check the stop-on-reply and tracking settings.
  6. In Review, check everything and launch.

Writing the steps

The Content step shows your Sequence steps. Step 1 is the first email; each later step has a timing line — "Send this email [number] [days] after previous step." Click Add step to add another follow-up, or Remove to delete one.

Each step has its own subject and body. Use Variables to personalize with contact details and custom fields, Templates to start from a saved template, and Preview to check the result. Advanced options adds CC, BCC and Reply-To.

Stop on reply

In the Schedule step, Stop on reply stops a recipient's follow-ups as soon as they reply. Replies must go to the sending mailbox. Recognizable automatic replies, such as out-of-office messages, are ignored. You can turn the setting off if you want every step sent regardless.

Tips

  • Keep follow-ups short and give each one a reason to exist.
  • Two or three follow-ups, a few days apart, is usually enough.
  • Check the daily sending cap shown in the Schedule step before launching a large list.
