How to delete deals and keep your pipeline clean

Not every deal ends in a win, and a clean pipeline means dealing with the ones that are done. This covers how to delete deals, what happens to linked emails and contacts, and why closed deals usually shouldn't be deleted at all.

How to delete a deal

  • From the Kanban board: hover over the deal card, click its three-dot menu, select Delete, confirm.
  • From inside the deal: open the deal, click the three-dot menu in the top-right of the panel, select Delete, confirm.
  • Bulk delete in List view: switch to List view, select multiple deals with the checkboxes, and delete them via the bulk action menu — the fastest way to clean up many old deals at once.

What deletion removes — and what it doesn't

  • The deal and all its data — comments, tasks, activity log, custom fields — are permanently deleted. This cannot be undone.
  • Linked contacts are not deleted — they stay in your Contacts section.
  • Email threads in Gmail are not deleted — they stay in your inbox as normal.
  • Gmail stage labels on linked threads may persist briefly after deletion. If they don't clear, contact us via chat or the contact form with the affected addresses and we'll clear them manually.

Closing a deal vs deleting it

Teamopipe doesn't have a separate "archive" state — the standard workflow is moving finished deals to a final stage like "Closed Won" or "Closed Lost" rather than deleting them. That keeps your history intact and makes future win/loss analysis possible from day one. Delete only what you want gone permanently: test deals, duplicates, leads that were never real opportunities. Managing the Free plan deal limit

The Free plan supports 25 deals across all pipelines; at the limit, new deals can't be created until you free up space or upgrade (Settings → Billing, $9/user/month for 5,000 deals). If you're deleting real closed deals just to stay under the limit, you're trading your sales history for $9 — usually the wrong trade.

Tip: Before deleting a batch of deals, export the pipeline to CSV (three-dot menu → Export to CSV) — the export includes all fields and custom field values, on any plan.
