How email linking works in Teamopipe
Email linking is how Teamopipe connects Gmail conversations to deals — get it right and your inbox stays organised automatically; get it wrong and unexpected emails appear in deals. This explains the two linking modes, how to add and remove links, and how to view linked emails.
The two linking modes
Every deal has a linking mode that controls which emails appear in it. You set it when creating the deal from an email, and Teamopipe remembers your last choice.
Contact-level linking
All emails from the contact's address are associated with the deal — past and future — without you doing anything. Best for one person, one deal: a consultant with a single client engagement where everything from that person belongs together.
Thread-level linking
Only the specific thread you linked is attached; replies within it keep appearing, but other emails from the same person don't. Best for one person, multiple deals: a designer with one client across three projects, each project its own deal with its own thread — no bleed between deals.
Setting and changing the linking mode
When creating a deal from an email, the popup shows a toggle between "link to thread" and "link to contact" — set it before selecting the pipeline. To change it on an existing deal, open the deal, go to the Linked Contacts section (top-right of the panel), and switch the link type there. Adding contacts and extra threads to a deal
A deal can have multiple linked contacts — useful when several people from the same company are involved. Open the deal, click Select contact... in the Linked Contacts section, and pick from your list.
To link an additional email thread — a forwarded conversation, or the contact writing from a different address — open the thread in Gmail, click the Teamopipe icon in the toolbar, and select the existing deal. Keep the toggle on "link to thread" if you only want that specific thread.
Viewing linked emails
From a deal: click the arrow icon next to the contact in the Linked Contacts section to jump into the Gmail thread; in List view, use the arrow icon at the start of the deal's row. From a contact page: the Overview tab lists all their deals with thread links, and the Activity tab shows the full history.
Removing a link
Open the deal, find the contact in Linked Contacts, and use the remove option — their emails stop appearing in the deal from then on. If emails keep appearing, another linked contact with contact-level linking may share the same sender address.
Common issues
- All emails from one person appear in a deal — contact-level linking is active; switch to thread-level in the Linked Contacts section.
- Emails from one deal appear in another — two deals share a contact with contact-level linking; switch one or both to thread-level.
- A deal label stays on emails after the deal was deleted — reach out via chat or the contact form with the affected addresses and we'll clear it.
