Your first 10 minutes in Teamopipe

A step-by-step walkthrough that takes you from a fresh install to your first deal in the pipeline. Follow these steps in order and you’ll have Teamopipe working the way it’s meant to in under 10 minutes.

This walkthrough takes you from a fresh install to a working pipeline in under 10 minutes. Follow the steps in order — by the end you’ll have your first deal on the board and understand how the daily workflow feels.

Step 1 — Install the extension (1 minute)

  1. Go to the Chrome Web Store and search for “Teamopipe CRM for Gmail”, or follow the link from teamopipe.com
  2. Click Add to Chrome
  3. Confirm the permissions prompt — Teamopipe needs Gmail access to link emails to deals
  4. Open Gmail and refresh the tab

Tip: If Teamopipe doesn’t appear in the Gmail sidebar after refreshing, click the Teamopipe icon in Chrome’s top bar and select “Use Teamopipe with this account.” You may need to scroll down in Gmail’s left sidebar — the Teamopipe section appears below Gmail’s standard labels.

Step 2 — Sign in with Gmail (30 seconds)

Click “Use Teamopipe with this account” and complete the Google sign-in flow. There’s no separate password — Teamopipe uses your Google account. A workspace is created for you automatically.

Step 3 — Set up your first pipeline (2 minutes)

Teamopipe creates a default pipeline when you sign up. To configure it — or create your own:

  1. Click Settings in the left sidebar
  2. Click Pipelines
  3. Click + New Pipeline → Choose from Template, or edit the existing pipeline
  4. Rename the stages to match your actual process — Lead, Proposal, Negotiating, Closed, or whatever fits how you sell
  5. Assign a colour to each stage — this colours the deal labels that appear in your Gmail inbox

Don’t overthink the stages. Start with 3–5 columns that match your real process. You can rename or add stages any time.

Step 4 — Create your first deal from an email (30 seconds)

  1. Open any email in Gmail from a lead or client
  2. Click the Teamopipe icon (T) in Gmail’s top toolbar
  3. Select your pipeline from the dropdown
  4. The deal is created and linked to that email thread. A coloured label appears on the email in your inbox.

The deal name is pulled from the email subject line. Open the deal and rename it if needed — something like “Acme Corp — Website Redesign” is more useful than the original subject.

Step 5 — Open the Kanban board and see your deal (1 minute)

Click your pipeline name in the left sidebar. You’ll land on the Kanban board with your deal sitting in the first stage. This is your pipeline — as deals progress, drag them from column to column.

Click the deal card to open it. You’ll see the activity log, a comments tab, a tasks tab, and the deal’s fields on the right. Click the arrow icon next to the linked contact to jump back to the email thread in Gmail.

Step 6 — Add a follow-up task (1 minute)

Every deal should have a next action. Inside the deal, click the Tasks tab → + New Task. Give it a name (“Send proposal”, “Follow up call”), set a due date, and save. You’ll get a notification 24 hours before the due date.

What the daily workflow looks like

Once you’re set up, the daily rhythm is simple. When you arrive at your inbox, glance at the coloured labels on emails — they show which stage each deal is in. For a pipeline review, open the Kanban board, scan the columns, and drag anything that’s moved forward. Check Tasks to see what’s due today. Reply to emails as normal — the linked threads stay in your deals automatically.

That’s it. Most users spend 5–10 minutes a day on pipeline review. The rest happens naturally as you work from Gmail.
