How to create and manage contacts
Contacts are the people behind your deals — each contact has their own page showing linked deals, email history, tasks, notes, and custom fields. This article covers creating contacts, editing their details, and using the Contacts section to manage your relationships.
Contacts are the people behind your deals. Each contact has their own dedicated page showing linked deals, email history, tasks, notes, and custom fields — so you have a full picture of the relationship in one place. The Contacts module was added in 2026 and is available on both Free and Pro plans.
How contacts are created
Automatically from a deal
When you create a deal from an email, the sender's email address is captured as a linked contact. Teamopipe auto-links contacts from email threads, so in most cases your contact list builds itself as you work deals. The contact will appear in both the deal's Linked Contacts section and in the global Contacts list.
Manually from the Contacts section
- Click Contacts in the left sidebar
- Click + New Contact (or + Add contact)
- Fill in the contact's details — first name, last name, email address, phone number, organization, and any custom fields
- Save
Use this for contacts who came in through a channel other than email — a referral name, someone from a conference, a prospect you found online.
The contact detail page
Click any contact to open their detail page. The left side shows the Overview tab with all relationship data; the right rail shows the contact's details. Switch to the Activity tab to see the full interaction history.
Overview tab
- Deals — every deal this contact is linked to, with a link to view the email thread
- Notes — free-form notes about the contact, separate from deal comments
- Tasks — follow-ups assigned to or about this contact
- Campaigns — any email campaigns this contact has been included in
Contact details (right rail)
- Email address, phone number, first and last name
- Organization — link this contact to a company in your Organizations list
- Assignee — the team member responsible for this contact
- Description and custom fields — any additional fields you've created for contacts
Editing contact details
All fields on the contact detail page are editable — click any field and type or select. Changes save automatically. Update a contact's name, email, phone number, linked organization, or any custom fields this way.
Tip: If a contact was auto-created from an email, their name may default to their email address. Open the contact and fill in their first and last name so your Contacts list stays readable.
Managing contacts in the Contacts list
The Contacts section (left sidebar) shows all contacts across your workspace as a searchable list. From here you can:
- Search contacts by name or email
- Filter by assignee or organization
- Click any contact to open their detail page
- Export all contacts to CSV via the export option
Deleting a contact
Open the contact's detail page, click the three-dot menu (⋮) in the top right, and select Delete. Deleting a contact removes them from Teamopipe but does not delete linked deals or email threads — those remain intact.
Note: If contact-level email tags persist in Gmail after deleting a contact, email support@teamopipe.com with the affected addresses and we'll clear them manually.
Custom fields for contacts
You can create custom fields specifically for contacts — industry, job title, LinkedIn URL, preferred contact method, or anything relevant to your work. Go to Settings → Data fields, create a new field, and set its scope to contacts. Custom fields appear in the right rail of every contact's detail page.
