How to archive and delete deals

Not every deal ends in a win, and keeping your pipeline clean means removing deals that are done — whether closed, lost, or simply no longer relevant. This article explains how to delete deals, what happens to linked emails and contacts when you do, and how to stay under the Free plan's deal limit.

How to delete a deal

From the Kanban board

  1. Hover over the deal card
  2. Click the three-dot menu (⋮) on the card
  3. Select Delete
  4. Confirm the deletion

From inside the deal

  1. Open the deal card
  2. Click the three-dot menu (⋮) in the top-right of the deal detail panel
  3. Select Delete and confirm

Bulk delete in List view

Switch to List view, use the checkboxes to select multiple deals, then use the bulk action menu that appears to delete them all at once. This is the fastest way to clean up a large number of old deals.

What happens when you delete a deal

  • The deal and all its data (comments, tasks, activity log, custom fields) are permanently deleted. This cannot be undone.
  • The linked contacts are not deleted — they remain in your Contacts section.
  • The email threads in Gmail are not deleted — they remain in your inbox as normal.
  • Gmail labels (stage tags) on the linked email threads may persist for a short time after deletion. If they don't clear automatically, contact support@teamopipe.com with the affected email addresses and we'll clear them manually.

Closing a deal vs deleting it

Teamopipe doesn't have a separate "close" or "archive" state — the typical workflow is to move a deal to your final stage (e.g. "Closed Won" or "Closed Lost") rather than deleting it. This keeps your history intact and lets you refer back to old deals.

Delete a deal only when you want it gone permanently — for example, a test deal, a duplicate, or a lead that was clearly not a real opportunity. For everything else, leave it in a closed stage where it serves as a record.

Tip: If you want to track win/loss rates in the future, keep closed deals in your pipeline rather than deleting them. Moving them to a "Won" or "Lost" stage now makes any future reporting accurate from day one.

Managing the Free plan deal limit

The Free plan supports 25 deals total across all pipelines. When you hit the limit, Teamopipe won't let you create new deals until you free up space.

Your options:

  • Delete old or test deals to free up space
  • Upgrade to Pro — $9/user/month, 5,000 deals. Go to Settings → Billing

Before deleting deals to stay on Free, consider whether you're actively using Teamopipe for real sales work. If you are, upgrading to Pro is the practical path — 25 deals fills up fast once you're closing regularly.

Export before you delete

If you're about to delete a batch of deals and want to keep a record, export the pipeline to CSV first: open the pipeline, click the three-dot menu (⋮) in the top right, and select Export to CSV. The export includes all deal fields and custom field values. This works on both Free and Pro plans.
